VenuePilot: booking software built around the venue

A community hall, dance studio and office space can all hire out rooms, but their booking rules needn't be the same. VenuePilot was developed to handle different spaces, rates, regular customers and recurring bookings without making the day-to-day administration harder than it needs to be.

We designed and developed VenuePilot as our own software platform. It brings a public venue website and a booking workspace together, with configurable spaces and rates so the system can be adapted to halls, studios and other bookable venues internationally.

The application includes calendars, customer records, one off and recurring bookings, configurable room rates, invoices, payment records and reporting. It can also handle more than one venue without muddling their bookings or accounts. Someone managing a hall should be able to check the diary, find a regular hirer or look into an outstanding invoice without moving between half a dozen screens.

We have put particular attention into the smaller details: mobile navigation, clear back buttons, pricing rules and what happens when a recurring booking changes. There is also an interactive workspace for exploring how it all fits together.
